Follow One Employee. See What Changes for Everyone.

A new employee joins the team. She checks in, requests leave and later receives her payslip. Each step creates information the right person can use. Watch the example, then switch between Owner, HR Manager and Employee.

Nisha: profile active. One joining task still pending.
Your device is set to reduce motion, so the example moves only when you choose a step.

Nisha joins, checks in at 9:02 AM, has one day of leave approved and receives her submitted July payslip — and the owner, HR and Nisha each see what that step means for them.

Real payroll, attendance and permissions depend on your configured HR system and company rules.

  1. Nisha Joins the Team. Her employee profile and joining tasks are kept together.
  2. Her Check-In Is Recorded. HR can review the log; attendance depends on shift and processing rules.
  3. Her Leave Goes for Review. A manager approves the request; Nisha can see its status.
  4. Payroll Is Checked Before It Is Final. HR reviews the salary slip. Bank payment is a separate step.

When HR Work Lives in Different Places, Small Problems Add Up.

One register records attendance. Another file tracks leave. Salary details sit in Excel. Employees ask HR for updates because they cannot see the status themselves.

  1. Joining details go missing. Employee documents and first-day tasks are followed up separately.

  2. Attendance takes time to correct. HR must investigate missed check-ins, late entries and shift changes.

  3. Leave approvals get delayed. Employees and managers do not always know the current request status.

  4. Payroll becomes a month-end rush. Missing attendance or salary details are noticed too late.

Your HR process works better when these records connect, and every step has a clear owner.

Different People. Different Questions. One Connected Process.

  • Owner

See the workforce picture. Know whether attendance issues, approvals and payroll checks need attention. Keep access to sensitive information controlled.

  • HR Manager

Keep employee details, check-ins, leave requests and salary preparation organised. Spend less time asking others for the latest file.

  • Employee

Check personal records, request leave, review attendance and access available payslips — without unnecessary calls to HR.

Views and access depend on permissions set by the business.

The Daily HR Work Your Business Needs to Manage.

A useful HR system is more than a list of employees. It helps different teams handle the work around every employee, from joining to salary processing.

People and structure

Employee records and joining

Keep department, branch, joining date, designation and relevant employee details organised. Use onboarding activities to make sure joining tasks are assigned and completed.

Branches, departments and access control

Keep company structure and employee roles organised. Give HR, managers and employees only the information and actions appropriate to their responsibilities.

Time, shifts and leave

Attendance across work locations

Record check-ins and check-outs, review attendance and manage exceptions. Set up shift rules and suitable location capture for office, factory or field teams.

Shift and overtime records

Assign work shifts, organise rotations and review late entries, early exits or overtime information. The exact overtime rules should follow company policies.

Shift Scheduling & Overtime

Leave requests and balances

Let employees apply for leave and see what is available to them. Managers can review requests, while HR has clearer records of what was approved.

Attendance & GPS Tracking

Payroll

Salary processing and payslips

Prepare salary structures, use attendance or leave records where configured, review salary slips and process payroll for the right branch, department or employee group.

Indian statutory payroll support

Plan for applicable PF, ESI, professional tax, TDS and other statutory deductions through the right configured payroll setup. Review deductions and reports before filing or payment.

Payroll and accounting records

Connect approved payroll processing with salary expense and payable entries where the accounting workflow is configured. Preparing payroll is not the same as transferring salary to the bank.

Finance and accounting

Self-service and claims

Employee mobile self-service

Give employees access to permitted check-ins, leave requests, their profile and available salary slips. Useful for teams who do not sit at a desk all day.

Employee Self-Service & Expense Claims

Expenses, advances and approvals

Handle employee expense claims, receipts, advances and approvals with a clearer record of what was submitted, reviewed and paid.

Employee expense claims

You do not need every feature on day one. Start with the HR work causing the most repeated effort and connect the next steps as your process improves.

Find the Missing Attendance Before Payroll Becomes a Problem.

Most payroll delays start with small gaps that no one noticed earlier. A missing check-in, an unreviewed leave request or an incorrect shift can hold up the final checks.

The system can help surface records needing attention. HR still needs to check the facts and follow the right correction process.

Made for the Way Indian Teams Actually Work.

  • Office team

Keep joining tasks, leave and payroll records together without passing spreadsheets between departments.

  • Factory team

Make employee check-ins and requests easier to manage across locations with suitable mobile options and configured location rules.

Different teams may follow different policies. The system should be set up around how your business operates.

Indian Payroll Needs More Than a Salary Formula.

PF, ESI, professional tax, income tax and other deductions depend on your employees, location, salary structure and current rules. YourOrderBook can help assess the relevant Frappe HR setup and suitable India Payroll capabilities, configure applicable rules and test the results with your payroll team.

Applicability, reports, filing steps and integrations must be confirmed for your business. No software removes the need to review statutory requirements.

Questions about HR and payroll

What is an HRMS, and why would a small business use it?
An HRMS is a system for managing employee records and everyday HR work. It can help a growing business keep attendance, leave, payroll and employee requests connected instead of maintaining everything separately.
Can this work for a small Indian business, not just a large company?
Yes. A small business can begin with essential employee records, attendance, leave and payroll processes. The right setup depends on team size, work locations and which tasks need improvement first.
Can attendance and leave be linked to payroll?
Frappe HR supports payroll calculations using attendance or leave records with the appropriate settings. HR still needs to review missing entries, leave policies, salary structures and payroll results before finalising a run.
Does Frappe HR support PF, ESI, professional tax and salary TDS?
Frappe HR supports payroll and tax structures. India-specific statutory deductions and reporting may use the India Payroll extension or another verified setup. Applicable rules, versions, employee eligibility and reports must be configured and checked.
Can office, factory and field employees use the same HR system?
They can be managed within one configured HR setup with suitable branches, departments, shifts and access rules. Mobile check-ins and location checks depend on the devices and settings used.
Can employees view their own payslips and apply for leave on a phone?
Frappe HR has mobile self-service capabilities, including leave requests and access to available submitted salary slips. The exact experience depends on the deployed version, payroll periods and employee permissions.
Can biometric attendance devices be connected?
Biometric check-in data can be integrated using supported methods or an assessed connector. Device compatibility, data format, synchronisation and shift rules must be checked before confirming the solution.
Can we use WhatsApp or face recognition for attendance?
Those may be possible through separate integrations or custom workflows, but they are not promised as standard features. We would first confirm the use case, privacy requirements and technical feasibility.
Does processing payroll automatically send money to employees?
No. Payroll preparation, salary-slip submission, accounting entries and actual bank payments are separate steps. The payment workflow must be configured and reviewed.
Can our HR and accounting records be connected?
Frappe HR and ERPNext can support connected payroll accounting and employee expense processes where the relevant modules are configured. The required accounts, permissions, mappings and review steps depend on your setup.
