Employee Self-Service & Expense Claims

Give Employees Answers and Requests in One Place.

Employees shouldn’t have to call HR for every leave balance, salary slip or expense claim. Give them a clearer way to make requests and see their status, while managers handle approvals and finance handles payments.

Set up around suitable Frappe HR self-service and approval features.

When every small request becomes an HR follow-up

One employee needs last month’s payslip. Another wants two days’ leave. A field worker has a travel receipt to claim. When all three send messages to HR, even simple work becomes a chain of calls, screenshots and reminders.

A self-service process can let employees find their own permitted information and send structured requests. Managers can see what needs a decision. HR can spend less time searching for missing details.

  • Employee“Send my payslip”
  • Employee“How much leave is left?”
  • Field worker“Has my claim been approved?”
  • Supervisor“Who should review this request?”

Salary slips are for the employee and authorised payroll users. Leave and expense reviews do not open them.

Expense claim to review

Meera Shah · Taxi and fuel · ₹1,200 claimed

Waiting for your review

Follow this claim to payment

Step 1 of 4 · Request leaveMeera asks for 2 days. A request is not an approval: her example balance stays at 8 days while it waits.

Step 2 of 4 · Manager approvesHer manager reviews the request and decides. The approval is a person’s decision, not automatic.

Step 3 of 4 · View payslipMeera opens her own submitted payslip. Seeing a payslip depends on the right role and payroll period. It is not a salary payment.

Step 4 of 4 · Submit expenseTwo receipts become one claim for her manager to review. Claimed is not yet sanctioned, and not yet paid.

Leave requested — Pending review

The example, step by step:

  1. Request leave: Leave requested — Pending review. Example available leave: 8 days.
  2. Manager approves: Leave approved. Example available leave: 6 days.
  3. View payslip: Submitted payslip available to employee. October 2026, Submitted, sample net pay ₹28,400, shown to Meera only.
  4. Submit expense: Expense claim ₹1,200 — Pending manager review. Taxi ₹450 + Fuel ₹750 = ₹1,200.

Employees see permitted personal records. Managers see the requests they are authorised to review. An approval is not the same as a payment.

Leave requests without endless follow-up

Employees can see relevant leave details and submit a request through the configured Frappe HR process. The assigned approver reviews it, and the employee can check the resulting decision.

For HR, the benefit is simple: requests, dates, reasons and decisions are kept together. Leave policy, eligibility and the available balance depend on company rules.

Payslips when employees need them

A submitted payslip is a useful personal document. Employees should not have to request a copy by message every month if their configured portal or app gives them permitted access.

Frappe HR supports salary slips and the mobile Salary view with the appropriate payroll periods and permissions. Draft or unsubmitted salary information must not be presented as an issued payslip.

Employee access depends on configured roles and submitted records.

Expense claims with a clear review trail

A service engineer buys fuel for a customer visit. A salesperson pays for local travel. Both need a way to record the reason and amount, attach the supporting document where supported, and send it for the right approval.

The manager can review the request and approve an appropriate amount or return it for correction. Finance can then handle the approved reimbursement through the applicable accounting/payment workflow.

Claim submitted → amount approved → reimbursement paid. These are different steps.

Follow an employee expense from receipt to payment

Use the example below to see why the amount an employee claims may differ from what a manager approves, and why a paid status comes only after the appropriate payment record.

Questions about employee self-service and expense claims

What is employee self-service in HR?
It means employees can access permitted personal HR records and submit routine requests, such as leave applications and expense claims, without asking HR to do each action for them.
Can employees apply for leave from a phone?
Frappe HR supports leave applications and mobile employee workflows. The exact steps and permissions depend on the configured app and leave policy.
Can employees view their salary slips?
Yes, with the correct Frappe HR setup. The mobile salary view depends on submitted Salary Slips, the correct Payroll Period and appropriate access permissions.
Can managers approve leave and expense requests?
Frappe HR provides approver-based leave and expense workflows. Managers need the right user access and the organisation’s approval setup.
Can employees submit travel and fuel claims?
Expense Claims can be used for relevant business expenses with suitable categories and review rules. GPS-based fuel verification or route tracking requires a separately scoped feature or integration.
Can a manager approve less than the claimed amount?
Expense review can distinguish the amount claimed from the amount sanctioned. Any rejected or reduced amount should remain clear in the record.
Does approving an expense mean money is already paid?
No. Approval and reimbursement payment are separate actions. The payment must be recorded through the appropriate accounting process.
Can employees request advances?
Frappe HR supports Employee Advances, with an approval and separate payment/settlement process when configured.
Can we build WhatsApp requests or custom mobile forms?
Additional messaging or custom workflows may be possible, but they need a scope and compatibility check. Not every custom field or feature automatically appears in every version of the mobile app.
Will the employee app expose everyone’s salary information?
It should not. Employee and manager access must be configured using appropriate roles, employee links and permissions, and tested before rollout.
