Catch Bill and Expense Problems Before Payment
A supplier sends a bill. An employee sends a receipt. Both need checking, but they do not follow the same process. Bring the documents, details and decisions together before money goes out.
Suitable ERPNext accounting, purchasing and Frappe HR workflows, configured around your controls.
Step Inside the Accounts Review Desk
Two documents have arrived. One is a supplier bill and one is an employee expense claim. Select either paper, check what is missing and see the next action.

Employee claim actions
Attach the receipt before the claim can be approved.
Step 1 of 4 · Documents arrive
Two documents arrive. They belong to different approval paths.
Step 2 of 4 · Check the bill
The supplier bill needs its supporting document and tax review.
Step 3 of 4 · Check the claim
The employee claim needs a receipt and an assigned expense approver.
Step 4 of 4 · Next action
Once details are checked, the right person can review the next action. Approval is not payment.
The useful question isn’t only “How much is the bill?” It is “Can our team explain, approve and pay it correctly?”
When Bills Arrive in Too Many Places
Email attachments, paper receipts and messages make it hard to tell what is ready for payment.
A bill arrives without its supporting document.
The supplier number or due date needs checking.
An employee claim is approved verbally but not recorded.
The accounts team is left asking who checked the tax or expense.
A clear review step prevents avoidable back-and-forth.

3Approved where?Give Every Supplier Bill a Clear Record
A Purchase Invoice records a supplier's bill. It can be created from a Purchase Order or Purchase Receipt where that process applies, or entered for an eligible direct expense. Your accounts team should review the supplier, reference, amounts, dates, taxes and attachments before submission.
- Bill received
- Details checkedChecked by a person
- Finance review
- Submitted payable
- Supplier payment handled separatelySeparate step
Submitting a bill records the appropriate payable and accounting impact. It does not mean the supplier has already been paid.
Keep Employee Expenses Out of Email Chains
Travel, courier and other employee expenses need a way to submit details, attach receipts and reach the right approver. With a suitable Frappe HR expense-claim setup, approvals can be recorded rather than lost in messages.
- Claim submitted
- Receipt attached
- Expense approverChecked by a person
- Reimbursement pendingSeparate step
- Know who claimed it
- See the receipt and sanctioned amount
- Track whether reimbursement is still pending
Approving an expense claim and reimbursing an employee are separate steps.
HR & Payroll ManagementCheck Tax Before You Book or Pay
Supplier GST details and any applicable TDS treatment need careful review. ERPNext can support configured tax templates and withholding categories, but the correct result depends on supplier details, expense type, law, thresholds and the installed localization.
No public demo can decide your tax position from one checkbox. We configure and test the rules with your finance team.
Make Pending Bills and Payables Easier to See
Finance should be able to check what has been submitted, what still needs details, what is on hold and what is due. Supplier payable reports, due dates and payment records help the accounts team plan its work.
A document returned for correction is not the same as a supplier amount posted for payment.

Keep Purchase Operations and Accounts Connected
Purchasing checks what was ordered and received. Accounts checks the bill, tax, due date and payable. Connecting those records helps each team see what the other has already checked, without turning this page into a second PO–Goods Receipt matching tool.
For the detailed order-versus-receipt comparison, see our Purchase, Inventory & Accounting Integration page.

We Fit the Review Process to Your Business
A factory with job workers, a distributor with frequent freight bills, and a service company with employee expenses will need different review steps. We help choose the right ERPNext/Frappe HR records, set permissions, define tax checks, test approvals and train the people involved.
- Map the documents
- Decide what must be checked
- Configure roles and records
- Test exceptions
- Train the team
Some flows use standard features. More complex approval routes, data capture or integrations may require additional configuration or custom development.
