Sales Invoicing & GST, Without Re-entering Every Detail

A customer order is ready. Now the invoice needs the right items, prices, address and tax details. Bring these records together so your billing team can check the invoice instead of typing everything again.

Built around your actual sales, accounting and GST process — using suitable Frappe/ERPNext capabilities.

E-way bill: verify if required

Step 1 of 4

Order details

Customer, products and quantities come from the sample order.

Step 2 of 4

Invoice and GST

The tax rows change with the example customer state. The total stays clear.

Step 3 of 4

E-invoice check

For businesses and invoices where e-invoicing applies, details must be checked before requesting an IRN.

Step 4 of 4

Movement document check

For applicable goods movement, check whether an e-way bill is required before dispatch.

An invoice is more than a printed bill. It connects the sale, tax review, customer amount due and accounting records.

The Problems That Slow Down Billing

Most billing mistakes are not caused by difficult calculations. They happen when the same information moves between people and files.

  1. Typing items again

A sales order has the right products, but the billing team enters them one more time.

  2. Checking tax details at the end

Customer addresses, GSTINs and tax setup get reviewed only when the invoice is urgent.

  3. Finding dispatch information late

The invoice and movement documents are prepared by different people with different records.

  4. Correcting after sending

The wrong quantity or rate leads to phone calls, corrections and credit notes.

A connected process gives your team a chance to check details before they become a problem.

Make Invoices from the Sale You Already Recorded

In ERPNext, a Sales Invoice can be prepared from a Sales Order or Delivery Note where the relevant records exist. Customer details and item lines can be carried forward for review. Your team still checks rates, quantities, tax setup and submission.

  1. Order or delivery
  2. invoice draft
  3. review
  4. submit

After submission, the invoice creates the appropriate customer receivable and accounting entries. It does not mean the customer has paid.

Make GST Checks Part of Billing

Different sales may need different GST treatment. The right place of supply, customer details, items and configured tax templates matter. We help you set up a process where those details are checked at the billing stage.

Billing-stage checks

  • See the correct tax rows for the configured transaction.
  • Check customer and item details before submission.
  • Keep invoice history available for accounts and reporting.

Any tax percentages shown in the demonstration are examples, not a statement of the rate for every product or customer.

E-invoices and E-Way Bills Need the Right Checks

Some businesses and transactions have e-invoicing or e-way bill requirements. With the appropriate India Compliance setup, supported API services and valid credentials, relevant ERPNext workflows can help prepare and process those documents.

  • E-invoice

Check whether the invoice is covered, prepare the required data, submit through the configured service and check the response. A draft invoice is not an IRN.

  • E-way bill

Check goods movement, invoice or delivery references and required transport details. An invoice alone does not mean a movement document is required.

Applicability, tax rules, credentials and supported functionality must be checked for your business. We do not promise automatic government approval.

Keep Corrections Connected to the Original Sale

Wrong quantities and returns happen. Use the supported ERPNext correction and credit-note process where appropriate so your accounts do not depend on someone changing an old PDF by hand.

A clear correction record is better than an unexplained invoice change.

Set Up Billing Around How Your Team Actually Works

A small sales team and a multi-branch distributor do not bill in exactly the same way. YourOrderBook helps review the process, configure customer and item details, set suitable permissions, connect orders and invoices, and test GST and document checks with your accounts team.

  1. Understand your billing steps
  2. Configure records and rules
  3. Test real examples
  4. Train the people who bill
  5. Improve after go-live

Some requirements use standard ERPNext and India Compliance options. Others may need customization, an integration or a change in your internal process.

Connected Billing Helps the Next Team Too

The sales team needs the correct invoice. Accounts needs the amount due. Collections needs the payment status. Those teams should not depend on three different copies of the same sale.
