Know Who Owes You Money — and What to Follow Up
Sending an invoice is only the beginning. Your sales and accounts teams also need to know what is due, what is late and what the customer has already paid. Make those answers easy to find.
Clear customer balances, practical follow-up and accounting records that stay connected.
Follow an Invoice From Due Date to Payment
Watch three sample invoices move along their payment dates. One is coming due. Two are already late. See what happens when your team prepares a reminder and records a partial payment.

Step 1 of 4 · Invoices raised
Three customer invoices have been issued, with different due dates.
Step 2 of 4 · Due or overdue
The two overdue amounts are easy to identify. The third invoice is not due yet.
Step 3 of 4 · Prepare reminder
Choose the overdue invoice and preview a polite follow-up message. Nothing is sent.
Step 4 of 4 · Record part payment
A sample ₹20,000 receipt is allocated to one invoice. Its remaining balance and the overdue total reduce.
Try it on INV-201
A reminder helps the conversation. Only a correctly recorded and allocated payment changes the invoice balance.
The Biggest Collection Problem Is Not Knowing What Happened
Sometimes a customer says they paid, but accounts has no allocation. Sometimes sales follows up with a customer who already settled the bill. Both problems start with disconnected information.
Calls and messages stay with one person.
Sales cannot easily see what a customer still owes.
Part payments are written down separately.
Overdue invoices get noticed too late.
Give each follow-up the right invoice, due date and latest recorded balance.

Accounts Receivable reports show which submitted invoices still have a balance, when payment is due, and how old an unpaid amount has become. Ageing helps your team decide what to review first, rather than treating every customer the same.
Ageing reflects the selected report date and correctly allocated payments. It is not a live bank statement.

Send a Better Reminder, Not Just More Reminders
A useful reminder names the invoice, shows the balance and asks for an update in a respectful way. ERPNext supports customer statements, Dunning processes and configurable notifications. YourOrderBook can help choose an appropriate follow-up process for your team.
A statement shows the facts. A reminder asks for the next step.

Record Part Payments Against the Right Invoice
A customer may pay part of an invoice today and the rest later. A correctly submitted and allocated Payment Entry reduces the outstanding amount. If money is received but not linked to the right invoice, someone must review and reconcile that allocation.

Money received is not the same as money matched to a bank statement. Bank reconciliation is a separate check.
Help Sales and Accounts Speak With the Same Facts
Salespeople need to know whether a customer has open invoices before promising the next order. Accounts needs a clear record of receipts and due dates. Connect the underlying records, with the right user permissions, instead of sharing monthly screenshots or spreadsheet copies.

Make Follow-Up Regular Without Sending Messages Blindly
Some reminders can be scheduled through supported notification or statement features. Others need a person's review, especially for disputed bills or important customers. Where a WhatsApp or payment-gateway integration is wanted, its provider, permissions and configuration must be checked first.

Connect Collections to the Rest of Finance
The invoice comes from billing. The customer balance comes from accounting. The receipt comes from payment records. Keep the journey connected so the collection team does not have to rebuild it every morning.
