Sales rep management

See where each salesperson needs attention — without chasing for updates.

Keep ownership, due follow-ups, open quotations and exceptions visible so managers can help the team where it matters.

Amit — needs attention

  • 5 overdue follow-ups
  • 2 quotations waiting
  • 1 enquiry without next action

Not who is performing.Where should the manager help?

Ownership comes before performance.

Before asking how a salesperson is performing, the manager should be able to see what work they currently own.

  • Open enquiries
  • Quotations
  • Follow-ups
  • Customers
  • Next actions

You cannot manage work clearly if ownership itself is unclear.

What should each salesperson see?

The view should feel useful to the salesperson, not only to management.

What should the manager see?

Choose a salesperson to see what is sitting with them right now.

Neha — what is sitting with them

  • 1 overdue follow-up
  • 4 quotations waiting
  • 1 customer meeting to confirm

Start with exceptions.

  1. Who has too many overdue follow-ups?
  2. Who has enquiries with no next action?
  3. Who is waiting on several quotation decisions?
  4. Who has too much work assigned?
  5. Who has no work assigned?

None of these answers tells you whether somebody is good at their job. They tell you where the work has stopped.

Workload is not the same as performance.

  • Ravi12 open enquiries0 overdue
  • Amit7 open enquiries5 overdue
  • Neha18 open enquiries1 overdue

A higher number of enquiries does not automatically mean better or worse performance. The useful question is whether the person has a manageable workload and clear next actions.

Make handover easier when somebody is unavailable.

Neha is on leave.

  • 3 follow-ups due today
  • 2 quotations waiting
  • 1 customer meeting

What should happen

  • Reassign selected work
  • Keep customer history
  • Preserve notes
  • Keep next action visible

Customer follow-up should not disappear because one salesperson is unavailable.

Managers should review the work — not reconstruct it.

Without shared visibility

  • Call salesperson
  • Check WhatsApp
  • Ask for Excel
  • Collect status
  • Build report

With shared visibility

  • Open current work
  • Review exceptions
  • Discuss where help is needed

The conversation with the team still happens. What changes is that it starts from the same information instead of from five separate answers.
