Dealer onboarding

Know what is still missing before a new dealer can place the first order.

Keep dealer details, required documents, commercial setup and account readiness visible instead of managing the onboarding through scattered messages and files.

3 things still need attentionReady for first order

The record existed on day one.The dealer could trade on day nine.

Dealer onboarding is more than creating a contact.

A contact has

  • Name
  • Phone
  • Email

A dealer needs

  • Business details
  • Commercial terms
  • Pricing
  • Credit setup where used
  • Salesperson coverage
  • An ordering or access method

A dealer record can exist before the dealer is actually ready to trade, and the gap between those two days is where the first order gets lost.

Make readiness visible.

  1. Dealer details
  2. Required information
  3. Commercial setup
  4. Internal review where required
  5. Portal or order access
  6. Ready for the first order

This is not one universal approval process. Some businesses need finance to sign off a credit limit before anything else; plenty only need somebody to agree a price and name an owner. The useful part is that whichever steps you have are visible in one place.

What information might be needed?

  • Business name
  • Contacts
  • Billing and shipping information
  • Tax or business identifiers where relevant
  • Commercial agreement
  • Price arrangement
  • Credit terms where used
  • Salesperson or account owner

Required information and documents depend on the business, the location and the commercial relationship. Nothing on this list is a legal requirement we are stating on your behalf — your own finance and compliance people decide what you must collect.

Keep missing items visible.

When onboarding stays “in progress”, a few missing items may be sitting with different people. Naming the owner beside each gap makes the next step clear.

Do not activate access before the commercial setup is ready.

Portal ready technically

but

  • No applicable price
  • Credit decision incomplete
  • Salesperson not assigned

Not ready for ordering

Technical access is not the same as commercial readiness.

A dealer who signs in and finds no price, or places an order nobody can price, has had a worse first experience than a dealer who waited two more days.

The first order should not restart the onboarding process.

  • Dealer account
  • Price arrangement
  • Commercial terms
  • Account owner
  • Delivery and account details

carries into

First order

  • Nothing re-entered
  • Nothing re-agreed

What should the dealer know?

  • What information you still need from them
  • Whether the account is ready
  • Who their contact is
  • How they will place orders
  • Where they will see prices and schemes, where that applies

Five things, and not one of them is an internal approval note. A dealer should know what is outstanding on their side; they do not need to read your credit discussion.

Onboarding should end with a usable account.
