Data entry automation

Stop typing information your business already knows.

Carry known details from one business record into the next, validate what still applies and leave only the unclear fields for a person to review.

Most of what the next record needs is already known. What is missing stays visible.

Draft ready for review

Retyping is usually a handoff problem.

First record

  • Customer
  • Item
  • Quantity
  • Date

Second record — manual

  • Customertyped again
  • Itemtyped again
  • Quantitytyped again
  • Datetyped again

If both records need the same known fact, the second person should not have to reconstruct it from the first.

Start with a source the business already trusts.

Example source

Sales order

An order already confirmed with a customer.

  • Customer
  • Item
  • Quantity
  • Reference

These are illustrative examples, not a fixed order of work. Which record a business starts from depends on how it already sells, buys and keeps its masters.

Map fields only when their meaning is clear.

Example mapping
Source fieldTarget field
CustomerCustomer
Item codeItem
QuantityQuantity
NotesNo automatic match

The target needs a specific value, not free text.

Automation should move known data, not guess what a field means.

Validation matters more than copying.

3 fields ready2 fields need attention

Copying a value into a field is the easy half. The useful half is knowing which values still hold — and saying so in words a person can act on, rather than a score.

Let exceptions stop — not the whole job.

Example run

Records processed
12
Ready
10

2
  • Record 08Customer code not recognised
  • Record 11Required field missing

Two rows need a person. The other ten did not need anybody to retype them, and that is the whole point of the section — the team works on the unusual rows instead of all twelve.

These counts are an example of what a run can look like, not a figure from your business.

Carry forward is not the same as copy everything.

Safe to carry

  • Customer identity
  • Item
  • Quantity
  • Reference number
  • A known relationship

Recheck when needed

  • Current price
  • Current stock
  • A delivery promise
  • Approval
  • Terms that may have changed

Reuse known facts.Recheck business conditions that can change.

Inside one system or between systems?

Same system
One transaction creates the next draft.
Connected systems
Known fields move through an integration or API.

The exact method depends on the software already in use. Connecting two systems is an implementation method; the business outcome is removing the second round of typing.

What should stay human?

  • Choosing an exception outcome
  • Confirming an unclear match
  • Changing commercial terms
  • Approving something unusual
  • Deciding when the source information itself is wrong

Automate the repeatable transfer.Keep judgement where the business actually needs it.

Where is your team typing the same information twice?

Show us where one record is being copied into another today. We’ll help identify what can be carried forward safely and where a person should still review the exception.
